Manage private files across business records

Upload safe versioned files, link them to exact records, and keep private staff evidence separate from Customer Portal publication.

Prerequisites and permissions

Have ready

  • An active staff account with File Manager access.
  • Private file storage available to the business.

Access rules

  • View requires File Manager access plus access to at least one linked record.
  • Upload, version and link changes require File Manager management access.
  • Linking also requires management access to the exact target record.

Walkthrough

Step by step

  1. 01

    Add a safe private file

    Choose a clear title and category, then upload a PDF, DOCX, XLSX, PPTX, XML, CSV, TXT, ODT, ODS, ODP, DXF, IFC, BCFZIP, JPEG, PNG or WebP file up to 10 MiB. PDFs and raster images are sanitised and rebuilt; other formats receive format-specific structural safety checks and are stored as opaque files.

    Choose a file in the mobile app

    In the Android or iOS app, tap the upload control to choose a document or photo. Android can offer a camera action for image uploads. Complete the usual Save or Upload action after selecting the file; selection alone does not submit it.

    Link the exact record

    Open Manage file and link the Customer, Service Site, Quote, Job, Invoice, Purchase Order or Goods Receipt. Nenvik checks your access to the exact record.

  4. 04

    Add versions without rewriting history

    Add version creates new saved, read-only evidence. Earlier finalized versions remain available to authorised staff.

  5. 05

    Remove links or retire

    Remove a link when the record relationship no longer applies. A file can be retired only after all active links are removed.

Troubleshooting

If something does not look right

File Manager is unavailable.

Confirm the package plan access, File Manager Team permission and private storage configuration independently.

A record cannot be linked.

Confirm the exact record reference and the current user's management access to that record.

A file cannot be retired.

Remove every active record link first, then reload and retire the current revision.

Upload status could not be confirmed.

Reload File Manager first because an overlapping retry may already have finalized the same receipt. If no version appears, review the retained title and category, select the same local file again if the browser cleared it, then retry.

The device picker or document viewer did not open.

Check that the app is connected, grant the camera or photo access requested by the device if needed, and retry from the authorised record. A cancelled picker leaves the record unchanged.
