Register Customer-owned equipment by Service Site, keep permanent service history and share only approved Portal summaries.

Before you start

Prerequisites and permissions

Have ready

  • An active Customer.
  • Customer Asset access; an active Service Site is optional.

Access rules

  • Owners have implicit Customer Asset authority.
  • Office Staff require exact Asset view/manage grants.
  • Portal identities see only Assets and service summaries explicitly marked customer-visible for their exact business access.

Walkthrough

Step by step

  1. 01

    Choose the exact Customer and Service Site

    Create a Draft Customer Asset for one active Customer. Optionally choose one active Service Site belonging to that same Customer; Nenvik rejects cross-Customer Sites.

  2. 02

    Record a useful equipment identity

    Add the name, category, manufacturer, model, serial number and optional installation or warranty dates. Warranty expiry cannot precede installation.

  3. 03

    Activate before sharing

    Draft Assets are staff-only. Activate the Asset, then explicitly enable Customer Portal visibility only when the identity is suitable for that Customer.

  4. 04

    Record permanent service history

    Choose the service type and actual time, add a factual summary and optionally link an exact same-Customer Job. Put internal detail in the private staff note.

  5. 05

    Share only deliberate service summaries

    Select customer-visible only when the summary is ready to share. Staff notes, actors, internal IDs, void reasons, costs and accounting data are never selected by the Portal query.

  6. 06

    Correct without rewriting history

    Recorded service facts cannot be edited or deleted. Void the incorrect fact with a reason, then record the corrected fact as a new entry.

Troubleshooting

If something does not look right

A Service Site is unavailable.

Confirm the Site is active and belongs to the exact Customer. Archived or other-Customer Sites cannot be assigned.

The Asset does not appear in the Customer Portal.

Confirm the Asset is Active or Inactive, not archived, Portal visibility is enabled, the Customer access is active and the assets.customer feature is enabled.

A service summary is missing from the Portal.

Confirm the record is not voided and was explicitly marked customer-visible. Staff-private notes are intentionally never displayed.

A Job cannot be linked.

Select a Job belonging to the exact Customer and current Service Site. Portal Job links appear only when that Job also has active customer-visible evidence.
