Moving from paper job sheets and spreadsheets to job management software: a practical plan

Switching does not have to stop the business. Start small, move your customer list, run one job end to end, then bring the team across.

Paper job sheets, whiteboards and spreadsheets work until they don't: a lost docket, a job nobody invoiced, or a customer who rings to ask when someone is coming. Moving to job management software is less about technology and more about changing a few daily habits. A simple plan makes it painless.

Before you start

  • Write down how a job flows today, from the first enquiry to payment. That is the process you are moving.
  • Decide who will own the setup. One person making decisions keeps it moving.
  • Pick a quiet week to start, not the busiest one of the year.

A practical switch plan

  1. Set up the business basicsBusiness details, services and prices, and the people who will use it.
  2. Move your customersExport your customer list from your current system or spreadsheet and bring it across, so the office is not retyping names and addresses.
  3. Run one job end to endPick a real but simple job and take it from quote to invoice in the new system. You will learn more from one real job than from a week of training.
  4. Bring the crew acrossShow the team how to see their jobs, record time and complete checklists on their phone. Keep it to what they need on day one.
  5. Retire the old toolsOnce new jobs run in the new system, stop creating new paper sheets. Keep the old records for reference.

Bring the team with you

People resist change when it adds work. Explain what gets easier for them: no more driving back to the office for paperwork, clear job details on the phone, fewer calls asking where to go next. Ask for feedback after the first week and fix the small annoyances quickly.

How Nenvik helps

There is no self-service import in Nenvik yet. If you export your customer data from your current software, for example a CSV or spreadsheet export from ServiceM8, Tradify or Simpro, and send it to Nenvik support, we will move it into your new account for you. Your data is handled under our Privacy Policy. Contact us to get started, or compare Nenvik with other job management software.
