Set a deposit on Quote acceptance

Request a percentage or fixed deposit and let acceptance create the deposit invoice.

Before you start

Prerequisites and permissions

Have ready

  • A Quote linked to a Customer, not a Lead, and Invoices enabled.
  • Online payments must be set up for the customer to pay online.

Access rules

  • Quote management access is required to edit the deposit. The publisher needs invoice management permission and Invoices access for automatic issuance.

Walkthrough

Step by step

  1. 01

    Choose the deposit

In Write, set a percentage or fixed amount inc. GST due on acceptance. Review the amount in Preview before publishing.

  2. 02

    Review the warning

State deposit caps for domestic building work are shown as a warning only. They do not block saving or acceptance and are not legal advice. Have your deposit and terms reviewed for the work you perform.

  3. 03

Let the customer accept and pay

Customer acceptance automatically creates and issues the deposit invoice from the accepted publication. The customer can choose Pay deposit now on the secure quote page or in the Customer Portal. Online payment is available when online payments are set up. Acceptance does not schedule a Job or confirm that the deposit has been paid.

Troubleshooting

If something does not look right

The deposit invoice or online payment is unavailable.

Check the Customer, Invoices access, publisher's invoice permission and payment setup. If issuance needs staff review, review the Draft invoice before issuing it. Confirm payment details with the customer when online payment is unavailable.
