Walkthrough
Step by step
- 01
Review customer views
Opening the secure link or portal Quote records a customer view. Staff are notified on the first view, and the sent Quote can show Viewed in the register. Staff views are not counted and email opens are not tracked.
- 02
Set automatic email follow-ups
In Company settings → Quote defaults, enable automatic email follow-ups, which are off by default. Default steps are day 2, day 7 and 3 days before expiry; 0 disables a step. Delivery runs on weekdays from 09:00 to before 17:00 in company time, at most once per 24 hours. Missed steps are not sent late after their delivery window. Each follow-up email carries a fresh secure link.
- 03
Pause or resume
Use Pause or Resume on the Quote Summary. Follow-ups stop on acceptance, decline or expiry, and while paused. Resume keeps the current publication's schedule; it does not restart missed steps.
- 04
Check the separate SMS rule
SMS follow-up is a separate Quote follow-up rule in Communications settings and is off by default. Enabling automatic email follow-ups does not enable that SMS rule.
Troubleshooting
If something does not look right
An automatic email follow-up was not sent.
Check the Quote's status, expiry, pause state, Company settings and company time. A recent contact, missed delivery window or unavailable recipient can prevent a send.
